General Responsibilities Directly or through subordinates, the CAO is responsible for several critical business support functions. Finance and Administration
Lead the onboarding of new clients, period reviews of existing clients and ensure the appropriate reporting and actions are taken and systems are appropriately updated.
Work with the business leads and Finance in maintaining accurate revenue forecasts and expense allocations. Coordinate forecast adjustments and research as necessary.
Assist in the management of the requisition request process and represent AIS APAC at request meetings. Counsel business leads on process requirements and monitor requests against current headcount.
Maintain current business metrics to support management reporting and requests from internal and external contacts in support of sales and surveys (Request for Proposals).
Prepare business unit presentations for internal and external use as required.
HR and Human Capital Management
Coordinate senior staff meetings, town halls and other employee communication forums.
Oversee AIS APAC employee engagement initiatives to ensure plans are being implemented and track progress.
Monitor headcount and static data of staff to ensure data is accurate for reporting purposes (cost center, job title, etc.).
Risk, Compliance and Audit
Provide oversight of internal and external (SSAE16) audits for AIS APAC. Liaising with auditors and the business in addressing findings, providing management responses and following up on exceptions and audit items (i.e., CAT items).
Work with the business leads in developing, implementing, maintaining and monitoring control procedures that reflect best practices.
Actively participate in the AIS Risk Committee to drive a risk based culture within the business. Drive locations and Enterprise Risk Management to resolve root cause of items and provide appropriate reporting to monitor progress.
Monitor AIS APAC errors and complaints; and ensure adherence to established AIS policies.
Provide liaison with AIS Risk Management in preparing annual RMSAP and RCSA; and implementing AIS Risk Management policies.
Liaise with Compliance in meeting timely regulatory reporting.
Liaise with Risk, Audit, and Compliance functions and work with appropriate staff to ensure significant issues are being remediated appropriately and tracked for completion e.g. AML issues, Operational Errors, etc.
Manage BU's participation in AIS Corporate Audit Program. Ensure schedule is understood by all business leads, support BUs during the audit, ensure issues from one location are addresses at all locations, oversee issue resolution and escalate concerns to bas required.
Maintain and test the Business Continuity Plan in accordance with standards defined by Global Continuity Standards.
Business Support and Operations
Drive Rightshoring effort across AIS APAC; including monitoring performance; and attribute related savings as part of annual expense initiatives.
Provide and maintain current SharePoint/Collaborate site as resource and repository for fund documents, procedures, request forms all PE/RE FS employees.
Assist in the documentation of procedures and workflow diagrams for key tasks.
Meet all requirements for performance planning process including goal setting, regular and immediate feedback and submission of formalized performance appraisals.
Serve as proxy for business head as required.
Participating in special client or internal projects as required.
Perform other duties as assigned.
Liaison with other STT business units.
Technical Skill Sets Required:
Microsoft Office (Excel, PowerPoint, Word and Outlook).
Microsoft Visio, Project, PowerBI and Visual Basic for Applications (VBA) a plus.
Candidates must have a college degree (general business, accounting, finance or economics preferred, accounting concentration a plus) and 12+ years of comparable demonstrated experience of decision making at a senior level. Project management experience required and investment industry is preferred. MBA and or industry accreditations a plus, but not required.
